BoosterHub Academy: 3.0 Accounting—Settings
Setting up Accounting requires a number of steps, but it is time well spent because all of your official club data will be in BoosterHub. Note that BoosterHub does not replace professional accounting advice, and we encourage you to have the club financials reviewed and audited annually by a professional accountant. If you complete the fields in the Settings and keep your accounting system reconciled throughout the year, the system will keep you advised of important due dates and help you complete your tax return.
Go to Settings at the bottom of the left navigation bar and then Accounting Settings in the middle menu. Note:
- Once the Fiscal Year Start Month is set, it can no longer be changed manually. Contact BoosterHub if changes are needed to the fiscal year.
- The Tax Return Due Date will auto-populate once you set the fiscal year.
- Year of Formation is only needed if you file a Form 990 return. If you do not know the year of formation, you can look at a previous return, or check with your Secretary of State.
- After you fill in the Sales Tax Rate, when you enter Products in the Store and turn Sales Tax toggle ON, it will automatically calculate sales tax according to the rate entered here.
The Uploads in Settings > Accounting Settings are linked to the Alert section in the Accounting dashboard. Based on the documents uploaded in Settings > Accounting Settings, the system will produce alerts to notify you if your tax return is due, or audit is overdue. Additionally, if the club is tax exempt and you set the Tax Exempt Status to Yes and upload the 501(c)(3) letter, you will not be charged sales tax on your BoosterHub subscriptions or credit card terminal purchases. Upload the files every year as you get the new forms.
In the Alerts section of Settings > Accounting Settings, All Accounting Alerts will notify the identified user of any overdue accounting items, as well as any errors in the system. Transaction Alerts will notify the identified user of transactions completed in the Online Store and Cashier Store. You can add multiple users to the accounting and transaction alerts. Check Request Approval identifies the users who will approve any incoming check requests. If you identify two users for approval, it will require both. If no users are identified, it will automatically route check requests to the treasurer.
Once you have completed your Accounting and Alerts selections, click the upper right Save icon.
