BoosterHub Academy: 3.3 Accounting—Budgets
A booster club best practice is to create a board-approved budget each year. Once it is approved, no further edits can be made, and a time/date-stamped copy is stored in File Manager. This provides a documented copy of the budget and helps prevent fraud.
To create a budget:
- Go to Accounting.
- Select Budgets from the middle menu.
- Select the blue button Create New Budget. You can make a draft budget, make edits, and then establish the budget as the approved budget for the year.
- Name the budget and specify start and end dates.
- Choose Set Default to set it as the default budget, and it will be one to appear when going to Budget.
- Click the Save icon, and the draft budget will pop up.
- Enter the budget numbers for each type of item and click Do Not Display to remove any rows you do not want.
- Once you have entered all of the data, click Save. You will see that the budget is still a Draft at this point, and it can still be edited.
- Click Approve Budget at the top right, and the budget is now fixed and can no longer be edited. If you need to amend a budget, click Duplicate Budget at the top right, and name the new budget as the Amended Budget.
To view your budgets, go to Accounting > Budgets and select from the drop-down menu at the top of the screen, or access through Reports on the middle menu.
