BoosterHub Academy: 5.0 Calendar and Volunteer—Add Events
We recommend setting up your Calendar and Volunteer opportunities prior to sending out invitations to new Members, so that the platform is populated and instantly useful when they arrive for the first time.
The Calendar in BoosterHub is very robust, and not all features will be needed for each event. The Calendar may be viewed through Grid view or List view. Simply click on any event in the Calendar, and a quick view will show up on the right with basic information about the event, the location, and if volunteers are needed.
To create a new event, navigate to Calendar > + Add Event. Select an event color. Once you have used a color on the Calendar, it will show in the list for future events. Add your Event Title and Location, and then select whatever Tags are appropriate, or multiple Tags if you wish. Select a Date Range or a single date from the Calendar, and select a time or make it an all day event. All kinds of information can be put in the description, including links to location, Ticket purchases, etc. You can also add files such as schedules or event flyers to the event. You can set a Reminder for any time before the event, and this will send an automated email to either all Members, or to those people with the Tag for this event, if set to Private Event.
You can set the event as a Private Event, and in that case only the members with the chosen Tags will be able to see the event. This is helpful for events like board meetings or team dinners that may not be available or applicable to the entire organization. You can also make events Recurring Events, such as practices.
Finally, you can add Volunteer Opportunities to each Calendar event. Choose the name of each opportunity, the number of volunteers needed, and the volunteer start time, as the start time for the volunteer opportunity may be different than the start time of the event itself. If you set the Event as Public, then anyone from the public can sign up for a volunteer slot by clicking on the Event on your webiste's Calendar.
Save the event by clicking Create Event at the upper right of the screen, and the event will now populate on the Calendar. You can click it and see the description in the quick view as well as any links and volunteer opportunities that you have added. If you navigate to Volunteer on the navigation bar on the left, you will be able to see the Volunteer Opportunity that you have created, and you can volunteer yourself or add volunteers here.
Volunteers receive a Reminder via email one day prior to the event for which they are scheduled.
An Open Spot Reminder goes out to all Members 2 days prior to your Event. Edit this in Settings > Admin Settings and scroll down to the Set Open Spot Reminder toggle. If you toggle the reminder ON, you can choose how many empty spots will trigger the reminder to be sent.
